Document Management Systems

Your documents, finally under control.

The internal system of record for document-heavy teams — a versioned repository with full-text and metadata search, approval and signature workflows, retention rules, per-folder permissions, and audit logs. One authoritative copy of everything, and a precise answer to who saw what.

01The idea

Somewhere in your Drive is the current contract. Probably. You hope.

Document-heavy teams drown in folders with no governance. No one is sure which version is final. Retention means “never delete anything” — so the repository only grows. Permissions are whoever-got-the-link. And when someone asks “who saw this document?”, the honest answer is a shrug. A document management system replaces that with a real system of record: documents that are versioned, searchable, permissioned, and accountable. It doesn't just tidy the mess — it removes a category of risk you've been quietly carrying.

02The signs

You already feel the chaos.

Each familiar frustration has the same answer — a system of record built for governance.

  • 01

Documents live in Drive with no governance

A real repository — versioned, permissioned, and accountable, not a pile of folders.

  • 02

You can't tell which contract version is current

One authoritative current version, with the full history behind it.

  • 03

Audit asks “who saw this document?”

An audit log with a precise, exportable answer — not a guess.

  • 04

    Retention is “never delete anything”

Retention rules that enforce themselves, with defensible disposition.

  • 05

Finding a document means asking a person

Full-text and metadata search across the whole repository, in seconds.

03What we build

A system of record, not another shared drive.

Everything your documents currently lack — version control, search, governance, and a paper trail — gathered into one internal repository.

Audit logs

A record of opens, edits, signatures, and permission changes — who saw what.

04Versioned & current

One current version. Always.

The endless 'final_v3_REALLY_final.docx' ends here. Every document has one clearly current version, with the full revision history behind it — so the file you open is the one in force, not a guess. You can see who changed what and when, compare revisions, and roll back if you need to. Nobody works from last month's draft, and nobody has to open three copies to find out which one was actually signed.

  • One authoritative current version per document
  • Full revision history, with who changed what
  • Compare versions and roll back safely
  • No more duplicate 'final' files over email

05Find anything

Search the repository, not your memory.

Finding a document should never mean asking the one person who remembers where it lives. We index the full text inside your files — including scans run through OCR — alongside structured metadata like client, matter, document type, status, owner, and dates. So you can search for a phrase buried deep in a contract, or filter to exactly the set you need, and get an answer in seconds across the whole repository.

  • Full-text search inside PDFs, Word, and scans
  • Metadata: client, type, status, owner, dates
  • Filter to an exact set, not a folder dig
  • Fast results across the entire repository
06Approvals & signatures

Route for review and signing, recorded.

Documents that need sign-off shouldn't travel by email and hope. A document can be routed to the right reviewers in order, approved or sent back with comments, then sent for e-signature — all inside the repository. Every step is recorded: who approved, who signed, and when. The executed version is filed and versioned automatically, so the signed copy is never a stray PDF in someone's downloads folder.

  • Route to reviewers in order, with comments
  • E-signature without leaving the repository
  • Executed copies filed and versioned automatically
  • A complete trail on every approval and signature

07Governance: retention, ACLs, audit

Keep what you must. Prove who saw it.

Governance is what separates a system of record from a shared drive. Retention rules apply themselves per document type — keep, then defensibly dispose — with legal hold to lock documents from deletion when needed. Per-folder permissions are enforced on the server for every request, so sensitive material is visible only to the right people. And an audit log records opens, downloads, edits, signatures, and permission changes, so 'who saw this?' has an exact answer.

  • Retention rules and legal hold, enforced
  • Defensible disposition, logged
  • Per-folder access-control lists, server-enforced
  • Audit log of who saw and changed what
08Order, made visible

A team that can finally find and trust its records.

Fast to search, clear about versions, and obviously governed — the calm of knowing every document is exactly where it should be, and accountable.

09How we work

Built for governance before it is built for features.

01

Map your documents & rules

We learn your document types, how they flow, who needs to see them, and the retention and compliance rules they have to follow.

02

Design repository & permissions

We design the repository structure, the metadata model, and the per-folder permission scheme, so search and access are right by design, not by patch.

03

Build versioning, search, signing

Versioned storage, full-text and metadata search, and approval and signature workflows — the parts your team touches every day.

04

Set retention, audit, migrate

We wire up retention rules, legal hold, and audit logging, then migrate your existing documents in with OCR and metadata applied.

05

Launch, train, govern

We roll the system out to your team, train them on it, and put the governance in place so it stays a system of record, not a new mess.

10Right when

The shared drive has outgrown its job.

  • Documents live in Drive with no governance

Folders multiply, versions blur, and access is whoever-got-the-link. When the volume of documents outgrows ad-hoc sharing, you need a system of record.

  • You can't tell which version is current

If 'which one is final?' is a real question your team argues about, version control isn't a nice-to-have — it's the whole point of a DMS.

  • Audit asks who saw a document

When the answer to 'who accessed this?' has to be exact and exportable, email search and hope don't qualify. An audit log does.

12Questions

The things teams ask us first.

Drive and SharePoint are great at storing files. They're weak at governing them. A document management system is the system of record for document-heavy work: there's one authoritative current version with full history, full-text and metadata search across the whole repository, approval and signature workflows, retention rules that actually enforce themselves, per-folder permissions, and an audit log of who saw what. Drive gives you folders and link sharing; a DMS gives you control, accountability, and answers — the things legal, finance, and ops teams get asked for and can't produce from a shared drive.

Get your documents under control.

Tell us how your team handles documents today — the folders, the versions, the retention rules nobody enforces. We'll design a versioned, searchable, governed repository that becomes your system of record and gives you a paper trail you can stand behind.
